Apics Flexjobs / Apics Works attaches great importance to the protection of your personal data. In these privacy conditions we want to provide clear and transparent information about how we handle personal data.

We do everything we can to guarantee your privacy and therefore handle personal data with care. Apics Flexjobs / Apics Works complies in all cases with applicable laws and regulations, including the General Data Protection Regulation. This means that we in any case:

  • Process your personal data in accordance with the purpose for which it was provided, these goals and type of personal data are described in these privacy conditions;
  • Processing of your personal data is limited to only those data that are minimally necessary for the purposes for which they are processed;
  • Ask for your explicit permission if we need it for the processing of your personal data;
  • Have taken appropriate technical and organizational measures to ensure the security of your personal data;
  • Do not pass on personal data to other parties, unless this is necessary for the implementation of the purposes for which they were provided;
  • Be aware of your rights regarding your personal data, want to point this out to you and respect them;

What personal data do we process?

At Apics Flexjobs / Apics Works there are several data processing processes. In order to clarify which data is processed in your case, we list the various processes below, whereby the data type is also mentioned.

Visit our website

Visitors to our website can fill in forms, asking for name and e-mail address. Users also have the option to leave a phone number. In addition to data entered by the user himself, we also process the IP address of a visitor with a contact request.

Application Process

We use personal data for our application procedure. Because the purpose of an application is an employment relationship, we need a lot of data for this. We always ask for the minimum necessary during the procedure. When applying for a job, we store the following information: full name, telephone number, e-mail, address, zip code, city, country, copy of passport or ID, bank account details, date of birth, CV and relevant work history.

A certificate of good conduct (VOG) is required for some positions and/or clients. In that case, we will ask you to provide this statement. We are not allowed to share a statement of conduct with a client, but we are responsible for checking for correctness.

Payroll Processing

We use a number of data for the payment of salary. For example, we are obliged to state your official place of residence/residence on a salary statement. For this we use your full name, address, zip code and place of residence. In addition, date of birth and citizen service number are stated. We transfer the salary to your bank account number, for this we use the IBAN number provided by you.

Billing

For invoicing we use the official company name, address, zip code and city. Invoices are sent by e-mail as much as possible, for this we process your e-mail address. In addition to the details of the client, we state the name of the temporary workers on the invoice.

Provision to third parties

We may provide the data you provide to us to third parties if this is necessary for the implementation of the purposes described above.

For example, we use a third party for:

  • HelloFlex Group, payroll, job application and time registration system
  • Parallax, planning system
  • MailChimp, email messaging and marketing
  • Microsoft, email facilities
  • Think4, IT services

We never pass on personal data to other parties with whom we have not concluded a processing agreement. We naturally make the necessary agreements with these parties (processors) to guarantee the security of your personal data. Furthermore, we will not provide the information you provide to other parties, unless this is legally required and permitted. An example of this is that the police requests (personal) data from us in the context of an investigation. In such a case, we must cooperate and are therefore obliged to provide this information. We may also share personal data with third parties if you give us written permission to do so.

Cookies

Cookies are small pieces of information that are stored on your computer by your browser. Apics Flexjobs / Apics Works uses cookies to provide you with a better service. They enable us to collect information about the use of our services and to improve and adapt them to the wishes of our visitors. Our cookies do not provide any information regarding personal identification.

Within the EU

We do not provide personal data to parties without a processor agreement that are located outside the EU. Outside the European Union, we only process your data if that country offers an adequate level of protection for your data, such as the EU/US Privacy Shield.

Minors

We only process personal data of minors (persons under the age of 16) if written permission has been given by the parent, guardian or legal representative.

Retention period

Apics Flexjobs / Apics Works does not store personal data longer than necessary for the purpose for which it was provided or required by law. Below is an overview of the most important retention periods.

  • Application for a vacancy, retention period is 30 days
  • Application for a vacancy, retention period is 1 year
  • Contact details left via website, retention period is 1 year
  • Payroll administration, legal term of seven years
  • Financial administration, legal term of seven years

Security

We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing, for example we have taken the following measures: All persons who can take cognizance of your data on behalf of Apics Flexjobs / Apics Works are bound by confidentiality. We have a username and password policy on all our systems, where possible we use additional security measures such as multi-step verification. We pseudonymise and ensure the encryption of personal data where necessary; We make backups of the personal data in order to be able to restore it in the event of physical or technical incidents; We regularly test and evaluate our measures; Our employees are informed about the importance of the protection of personal data.

Rights regarding your data

You have the right to inspect, rectify or delete the personal data we have received from you. You can also object to the processing of your personal data (or part thereof) by us or by one of our processors. You also have the right to have the data provided by you transferred by us to yourself or directly to another party on your instructions. We may ask you to identify yourself before we can comply with the aforementioned requests. If we may process your personal data on the basis of permission you have given, you always have the right to withdraw this permission.

Complaints

If you have a complaint about the processing of your personal data, we ask you to contact us immediately. If we cannot find a solution together with you, we will of course find this very annoying. You always have the right to submit a complaint to the Dutch Data Protection Authority, which is the supervisory authority in the field of privacy protection.
